Definition
Poster Abstract Presenters will be presenters at the in-person meeting being held April 29-May 2, 2026. Presenters must complete the assigned tasks noted below. Presenters should be prepared to attend the in-person Poster Session(s) at the Conference during their respective time/date.
Accepted abstracts will be published on the IPBIS website.
Deadlines & Required Actions
Please login (if necessary) and complete the following tasks
- Monday, March 30, 2026 – Hotel Reservation
- Wednesday, April 1, 2026 — Poster Presenter Registration
- To present your poster at the conference and be published, all presenters are required to register for the meeting no later than Wednesday, April 1, 2026. Please ensure your membership is current prior to registering.
- If you will need a letter from IPBIS to help with getting a VISA to travel, please check that option during your registration.
- Wednesday, April 15, 2026, at 5:00pm ET — Electronic Poster Due (link sent via email 2/10/25)
- Wednesday, April 15, 2026 – Upload your bio/picture:
- We invite you to upload your professional headshot and bio to be featured in the conference program for attendees to see (link sent via email 2/10/25)
Traditional Poster Session Location & Timing
Location: The Poster Session will take place in Imperial Ballroom 5, 7, 9 of the Hyatt Regency Calgary on Floor Three.
Timing:
- Friday, May 1st, 2026, 10:50-11:50am
- Lunch with Posters Friday, May 1st, 2026, 12:50-1:50pm
- Lunch provides a natural pause to reflect and reconnect. During this time, attendees and poster presenters are invited to spend additional time with the scientific posters, enjoy light sandwiches, small bites, and beverages, and engage in meaningful conversations with presenters and peers.
Poster Dimensions
The maximum size for posters:
- 83 cm/ 33 in width x 116 cm/ 46 in height
Please note you are sharing a board with another presenter. Posters larger than the maximum size may be removed from the meeting.
Traditional Poster Set up/Breakdown
Poster presenters are responsible for setting up their posters prior to the session at the designated time listed below.
- Poster Setup: You may hang your poster on
- Friday, May 1 between 8:00-10:00am
- Poster Removal: All posters must be removed by
- Friday, May 1 between 1:50-2:50pm
All posters not removed will be discarded.
Additional Information:
- Adhering your Poster: Push pins supplied on-site.
- Poster abstract numbers will be posted to help designate poster display locations.
- Third Party Poster Creators: If a third party is creating your poster, presenters are responsible for providing the specifications to the poster designer and printing options.
- Please Note: IPBIS staff are not available to hang, remove or store your poster.
- Poster containers left on the floor will be removed.
- Printing: The hotel does not have printing onsite
- There are several walkable printers nearby.
- QR Codes: QR codes are allowed
Electronic Poster Details
The electronic posters will be available for viewing by attendees at the start of the conference in April and for approximately 6 months after the meeting on the website. As a general guideline, please work to make your poster easy to read, using sharply contrasting text on your chosen background. Select a font and size that will be easily readable for the viewer.
- File Format: We will only accept the poster as a 1-page PDF file.
- Upload deadline: Wednesday, April 15, 2026 at 5:00pm ET
- File Size Limit: 10 MB
- Orientation: Landscape is the preferred orientation.
- Template: There is no meeting-specific template that you must use.
- File Naming: Please use this file naming convention: Last Name-abstract number (i.e. Smith-OTME-24-)
